DIRECTOR OF PRODUCTION

POSITION PURPOSE:    The Director of Production is responsible for planning, overseeing and managing all production aspects of Palm Beach Opera’s seasons. Duties are outlined below. The Director of Production reports directly to the General Director, and works in collaboration with the Artistic Director and Director of Artistic Operations.

PRIMARY RESPONSIBILITIES:

Director of Production responsibilities include, but are not limited to:
1.    Participation as a member of the management staff and taking an active role in annual and operational planning, as well as long range production and facilities planning.
2.    Originate and supervise strict adherence for all operating budgets as they pertain to the production departments.
3.    Coordinating all technical aspects of production including scenery, lighting, properties, wardrobe, wigs/make-up, sound and surtitles.
4.    Taking on all responsibilities as direct supervisor for all production staff including IATSE stagehands, stage management, production coordinator and any other production personnel
5.    Sourcing, evaluating and recommending scenery, costumes and lighting designers for future PBO productions.
6.    Acting as liaison with Kravis Center in all matters concerning programming and bookings for Palm Beach Opera events. The General Director may opt to have direct contact for booking arrangements but the Director of Production must coordinate with the Kravis stage management personnel about the intended activities of PBO.
7.    Acting as an information coordinator between designers and directors.
8.    Maintaining inventory of company production assets and be in charge of all company warehousing.
9.    Originate Auto Cad or Vectorworks production ground plans and hanging plots for use by lighting designers, stage management and IATSE crew heads.
10.    Act as a technical director for presentations by PBO in venues other than the Kravis Center
11.    Other related duties as assigned from time to time by General Director.   

QUALIFICATIONS:   

Experience: 5 years as Director of Production for a Level II opera company or a similar background in theater.   

Equipment Operation: Proficient in Microsoft Office Suite, especially Word, Excel; also Autocad and Vectorworks     

Other Requirements: Position requires lifting. Valid driver license and reliable transportation required. Position also requires working nights and weekends during season as per the rehearsal and performance schedule.

  INSTITUTIONAL ADVANCEMENT & MAJOR GIFTS OFFICER

POSITION PURPOSE:  The Institutional Advancement & Major Gifts Officer is responsible for strategic campaign planning, executing and managing fundraising initiatives to attract private, public and corporate support, and expanding the donor base. This includes establishing fundraising goals, preparation of budgets, supervision of staff, and collaboration with Board of Directors. This position reports to the General Director in absence of a Director of Development.

PRIMARY RESPONSIBILITIES:
           
1.    Institutional Advancement
•    Create and implement strategic fundraising campaigns in collaboration with General Director to increase private and public support (annual, foundation, corporate, endowment, planned giving, on-line, etc) and expand donor base
•    Generate fundraising solicitation materials in collaboration with Development staff for all campaigns
•    Train development staff and Board members in fundraising strategies

2.    Major Gifts
•    Establish annual fundraising goals for major gift campaign ($ 10,000 +), individual giving campaign (up to $ 9,999) and corporate campaign
•    Manage major gifts campaign to ensure reaching campaign goals, including all major donor cultivation, solicitation schedules, and reports
•    Research and identify new major gift prospects, and establish solicitation strategies

3.    Individual Giving
•    Supervise Individual Giving Officer to ensure reaching campaign goals for Individual giving

4.    Corporate Support:
•    Manage and build on existing corporate relationships and sponsorships
•    Identify, cultivate and manage new corporate donors to ensure reaching campaign goals
•    Implement and maintain corporate data base

5.    Planned Giving:
•    Analyze and build upon existing planned giving programs, establish new goals

6.    Special Events
•    In collaboration with Director of Special Events, establish fundraising goals for events in accordance with budget needs
•    Attend PBO fundraising and donor cultivation events, create follow up solicitation strategies and schedules

7.    Foundation Support/Grants
•    Supervise Individual Giving Officer in her/his function as contact person to Outside Grant Writing Services

SECONDARY RESPONSIBILITIES:

•    Assume responsibility for Development reports to the Board and other agencies, attend all board meetings and act as liaison to Development committee
•    In collaboration with General Director and other Development Staff, coordinate all activities of the Board of Directors
•    Produce development copy for fundraising portions of quarterly newsletter, website, solicitation letters and presentations, acknowledgment letters, and other written materials

Experience: Minimum of 3 – 5 years experience in fundraising for non-profit arts organization with proven record in individual, foundation and corporate fundraising. Knowledge of opera and the performing arts is desired, but not required. Knowledge of latest trends in fundraising techniques including planned giving. Dynamic, approachable personality with proven record for follow-through, and  working with Board of Directors.
Detail oriented, organized and outgoing. Excellent oral and written communication skills required.

Equipment Operation: Superior computer skills, experience in a Windows environment including MS Office Suite (Word, Excel, Powerpoint, Publisher, Outlook) in addition to donor management programs.  PROVENUE software experience is a plus.

Physical Requirements: Valid driver license and reliable transportation required. 
Flexible schedule that will require working some nights and weekends during season.

  ANNUAL FUND MANAGER

POSITION PURPOSE:    The Annual Fund Manager is responsible for executing and managing fundraising initiatives to attract private support and expand the donor base in collaboration with the Institutional Advancement and Major Gifts Officer. This includes assisting in establishing development and implementation of fundraising goals, solicitation of individual gift, preparation of budgets, supervision of staff, and collaboration with Board of Directors. This position reports to the Institutional Advancement & Major Gifts Officer.

PRIMARY RESPONSIBILITIES:
           
1. Annual Fund/Individual Giving
•    Establish fundraising goals for Annual Fund/Individual Giving Campaign (donors up to $ 5,000) in collaboration with Major Gifts to increase private support and expand donor base
•    Manage annual fund/individual gift campaign to ensure reaching campaign goals, including donor cultivation, solicitation schedules, reports and gift acknowledgments
•    Generate fundraising solicitation materials in collaboration with Institutional Advancement Officer
•    Research and identify new gift prospects, and establish solicitation strategies

2. Foundation and Private Grants
•    Act as company liaison to Outside Grant Writing Services
•    Coordinate and organize all materials and fundraising copy internally for easy transmittal to Grant Writing Service
•    Build upon existing donor data system (PROVENUE) to generate accurate fund reports

3. Corporate and other campaigns:
•    Assist Institutional Advancement Officer in Corporate and other campaigns as necessary
•    Build upon existing donor data system (PROVENUE) to generate accurate fund reports

SECONDARY RESPONSIBILITIES:

1.    Act as Education Coordinator:
Plan education and family programs in collaboration with Art/Prod & Marketing Department
Manage all aspects of Education programs, including scheduling, coordination, internal and external communication, registration, background checks, study guides, evaluation, etc.
Produce program descriptions for corporate sponsorship securing and foundation underwriting
2.    Overtures - Young Friends:
Act as Liaison to Overture - Young Friends of Palm Beach Opera
Assist in Event Planning, Membership renewal, Solicitations, and all other YF related activities
3.    Build upon existing donor data system (PROVENUE) to generate accurate fund reports
4.    Speak publicly on behalf of Palm Beach Opera’s development efforts and educational programs
5.    Attend Board Meetings as necessary, provide reports to Board and other agencies
6.    Attend all donor cultivation and outreach events as scheduled by Palm Beach Opera

  EXECUTIVE ADMINISTRATIVE ASSISTANT

Provide administrative support to the General Director, Director of Special Events and other departments as requested. Assist in establishing and maintaining day to day operations.

Essential Duties and Responsibilities:
•    Provide administrative support to General Director, Director of Special Events and other departments as needed.
•    Create and modify documents utilizing Microsoft office.
•    Answer main telephone line and transfer to appropriate staff member.
•    Meet and greet visitors.
•    Perform general clerical duties to include but not limited to: photocopying, faxing, mailing and filing.
•    Setup and coordinate meetings and conferences
•    Maintain master calendar
•    Maintain office supply inventories
•    Update and maintain information in database
•    Ability to coordinate and prioritize multiple tasks and projects
•    Ability to identify process inefficiencies and make suggestions
•    Basic math and problem solving capabilities
•    Highly organized
•    Perform other related duties as assigned
•    Must have ability to work well independently and collaboratively

Qualifications:   

Education: Associate degree or higher

Experience: Minimum of three years administrative experience.  Must be detail oriented and organized with the ability to multi-task and work under pressure. Internal/ external customer service skills, excellent oral and written communication skills and professional telephone etiquette required.

Equipment Operation: Superior computer skills including Microsoft Office Suite (especially Word, Excel and Outlook). Operate postage meter.

  INTERNS
Palm Beach Opera offers internships for students interested in a career in a non-profit arts organization. Interns will be exposed to many facets of the administrative office responsible for the operation of the organization and will develop an understanding of how the non-profit arts world operates. 

Internships are available in the following areas: Development/Fundraising, Administration, Marketing/Public Relations and Special Events

Interns must demonstrate strong computer, written and oral communication, and organization skills; the ability to perform multiple tasks with attention to detail. They must maintain a professional manner including attitude and attire and be able to interface successfully with a variety of personalities.

Internships are unpaid and require a minimum of 20 hours a week (scheduling is flexible) during regular office hours (9:00am to 5:00pm). Intern may also be asked to attend evening events and/or weekend performances. Palm Beach Opera’s office is located in West Palm Beach, Florida and does not provide housing, transportation, or relocation costs. Assignments will be based on the interest and qualifications of the intern and the needs of each individual department.
